Learn productivity: what actually works

Most productivity advice is folklore. This page keeps only what published research supports: how to plan so you actually start, how to learn so it actually sticks, and how to protect your focus. Every claim links to the study behind it, and the myths get named. At the bottom, interactive checklists turn the reading into action.

Plan so you actually start

The gap between intending and doing is the best-studied problem in the field. Four findings close most of it.

If-then plans (implementation intentions)

Decide in advance when, where and how, not just what.

The evidence A meta-analysis of 94 independent tests found that forming an if-then plan improves goal attainment with a medium-to-large effect (d = 0.65), over and above merely intending the goal. [study 1][study 2]

Do this Rewrite one goal as: "When situation X arises, I will do Y." For example: "When I close my laptop at 12:30, I put on my running shoes."

Mental contrasting (WOOP)

Visualize the wish, then name the obstacle in you that blocks it.

The evidence Mentally contrasting the desired future with the inner obstacle turns daydreams into binding goals when success is within reach, and frees you from them when it is not. That mechanism became the WOOP method, whose official site is woopmylife.org. [study 1]

Do this Four steps on paper: Wish, best Outcome, inner Obstacle, then an if-then Plan for that exact obstacle.

Specific, difficult goals

"Do your best" is the weakest goal you can set.

The evidence Thirty-five years of research: specific, difficult goals consistently beat vague encouragements, with meta-analytic effects of d = 0.42 to 0.80, and performance rises with goal difficulty as long as the goal stays accepted. [study 1]

Do this Replace "make progress on the report" with "draft sections 1 and 2 by Thursday 17:00". Specific and hard, but accepted by you.

Beat the planning fallacy

Your estimate is a best-case scenario wearing a disguise.

The evidence Students predicted 33.9 days to finish their thesis; reality took 55.5, and fewer than a third finished within their own estimate. Self-imposed deadlines fight procrastination, but people place them badly: evenly spaced, externally binding deadlines performed best. [study 1][study 2]

Do this Estimate from your track record, not your optimism: how long did the LAST comparable task really take? Then set intermediate deadlines with real stakes.

Learn so it sticks

A century of memory research agrees on a few things, and they are not what school taught you.

Test yourself (retrieval practice)

Recalling beats re-reading, even when re-reading feels better.

The evidence Five minutes after studying, re-reading looks better (81% vs 75% recalled). One week later the effect reverses: the self-tested group retained 56% against 42% for re-readers (d = 0.83). Re-reading flatters; testing builds. [study 1]

Do this Close the notes. Write down everything you remember, then check. Flashcards, blank-page recall, practice questions: anything that forces retrieval.

Space it out

Ten hours spread over a month beat ten hours in one weekend.

The evidence A synthesis of 317 experiments across 184 articles: for the same study time, spaced sessions produced 47.3% correct recall against 36.7% for massed sessions. [study 1]

Do this Split any study plan into short sessions with growing gaps: tomorrow, in three days, in a week, in a month. The study playbook below does this for you.

Build the habit, not the streak

Habits form by repetition in a stable context, and slower than the folklore says.

The evidence Volunteers repeated a chosen behaviour daily in a stable context: automaticity plateaued after a median of 66 days, with a range of 18 to 254 days depending on the person and the behaviour. [study 1]

Do this Anchor the new behaviour to a fixed cue (same time, same place, same trigger) and judge yourself on showing up, not on speed of automation.

Practice deliberately

Hours count only when they target what you cannot do yet.

The evidence In the founding study of expertise, elite performance tracked the accumulated amount of practice specifically designed to improve it, with defined goals and immediate feedback, typically designed by a teacher. Plain accumulated experience did not. [study 1]

Do this Isolate one weakness, design an exercise for it, get immediate feedback, repeat at the edge of your ability. Comfortable repetition maintains, it does not improve.

Protect your focus

Attention does not switch cleanly. The research on what task-switching really costs is unambiguous.

One task at a time

Part of your mind stays on the task you just left.

The evidence After a switch, part of your attention measurably stays on the previous task (attention residue) and performance on the next one drops. Switching itself carries time costs that grow with task complexity. [study 1][study 2]

Do this Block one thing per slot in the calendar, close everything else, and finish or park the task explicitly before switching. Time blocking is an if-then plan for your attention.

Write the next step down

Unfinished tasks intrude on your thoughts until they have a plan.

The evidence Unfulfilled goals intrude on an unrelated reading task and degrade performance on unrelated problems. Writing a specific plan for them eliminated those intrusions, even though the goal itself remained undone. [study 1]

Do this When something nags at you, do not do it: write its precise next step somewhere you trust, then return to what you were doing. That is the working core of Getting Things Done.

Checklists for the critical path

Experts do not fail for lack of knowledge, but for lack of a check.

The evidence Introducing the 19-item WHO surgical checklist in 8 hospitals across 8 cities cut deaths from 1.5% to 0.8% and inpatient complications from 11.0% to 7.0% (P=0.003 and P<0.001). [study 1]

Do this For anything you repeat under pressure (deploys, launches, exams, travel), write the shortest checklist that catches your known failure points. Then actually run it.

Four myths to bury

Repeating these does not make them true. Here is what the research actually says.

The myth It takes 21 days to form a habit.

What the science says The number traces to Psycho-Cybernetics (1960), where a plastic surgeon observed that patients took about 21 days to get used to a new face: an anecdote, never a study of habits. The actual measurement found a median of 66 days to reach peak automaticity, with a range of 18 to 254. [study 1][study 2]

The myth 10,000 hours of practice make anyone an expert.

What the science says Ericsson, whose research inspired the figure, rejected it in writing: there is no magic number, his data would put an international piano competition closer to 25,000 hours, and the popular version confuses any experience with deliberate practice. [study 1][study 2]

The myth Some people are good at multitasking.

What the science says The opposite was measured: heavy media multitaskers were worse at filtering irrelevant information and worse at switching itself than light multitaskers. Even the famous claim that switching devours 40% of productive time is folklore: it appears in a popularization page, not in the primary study. [study 1][study 2]

The myth The Pomodoro Technique is scientifically proven.

What the science says No peer-reviewed study validates the full 25/5 protocol. The closest experiments found that students taking self-regulated breaks kept motivation higher and fatigue lower than those on fixed Pomodoro-style breaks, in small samples. Use the timer if it helps you start; do not treat it as a law. [study 1][study 2][study 3]
